Frequently Asked Questions

Everything you need to know about using Yealo for your events.

Getting Started

(5)
Yealo is an event media platform that lets hosts create a shared album, generate a QR code or link, and collect photos, videos, and audio from every guest — no app download or sign-up required. It's built for weddings, corporate events, birthdays, reunions, and any gathering where you want every moment in one place.
Tap "Create your event" on the homepage. You'll walk through a quick flow: name your event, pick a date, choose a cover image and color palette, select your plan, and customize settings. The whole process takes under two minutes. You'll get a shareable link and QR code instantly.
No. Yealo is entirely web-based. Hosts manage everything from their browser dashboard, and guests upload directly from their phone's browser by scanning a QR code or tapping a link. No app store, no downloads, no friction.
Yes — the Basic plan is completely free. You get 1 GB of photo storage, a shareable link, QR code, and 6 AI credits. No credit card required. Paid plans unlock video/audio uploads, more storage, longer gallery access, and additional features.
Every event gets a unique link (yealo.us/e/your-event) and a custom QR code. Share the link via text, email, or social media, or print the QR code on table cards, invitations, or display it on a screen at your event.

Guest Experience

(8)
No. Guests can upload photos anonymously — no sign-up, no login, no app download. They can optionally enter their name so you know who uploaded what, and provide an email to receive gallery updates.
Photos: JPEG, PNG, GIF, WebP, HEIC, HEIF, AVIF, BMP, TIFF, DNG, and SVG. Videos (paid plans): MP4, MOV, WebM, 3GP, MKV, AVI, and M4V. Audio (if enabled): MP3, M4A, AAC, OGG, WAV, WebM, AMR, FLAC, and Opus.
Photos can be up to 50 MB each, and videos up to 500 MB each. Photos are automatically compressed on the client side to save storage while preserving quality. Large videos are transcoded to MP4 for compatibility.
Unlimited. Every plan — including the free Basic plan — supports unlimited guests. Whether you have 10 people or 5,000, everyone can upload.
Video uploads are included on Pro, Max, and Business plans (or available as a $5 add-on on the free plan). Audio recording can be enabled per-event and lets guests record messages up to 2 minutes long directly from their browser.
Yealo automatically detects duplicates using file hashing. If a duplicate is found, the newer version replaces the older one — so you never end up with redundant copies eating your storage.
Yes. Guests can like photos and leave comments (up to 200 characters). For downloads, paid plans (Pro and above) include two independent toggles in your dashboard settings: "Guest Downloads" lets guests save individual photos, and "Bulk Downloads" lets them select and download multiple photos at once as a ZIP. Both can be turned on or off independently. Downloads are a paid-tier feature — free plan guests can view but not download. When guests do download, they get full-resolution images with minimal compression — we don't degrade your photo quality.
Yes. Yealo detects slow connections and shows a banner so guests know to be patient. Uploads use retry logic with exponential backoff, and if a guest switches apps or locks their screen, the upload automatically resumes when they return.

Gallery & Viewing

(7)
Guests visit your gallery link (yealo.us/gallery/your-event) or scan the QR code. If the host has enabled guest viewing, anyone with the link can browse photos. No account needed.
Yes. In your event settings, you can set a gallery password. Guests will need to enter it before they can view any photos. You can change or remove the password at any time.
It depends on your plan. Basic: 2 months. Pro: 6 months. Max: 1 year. Business: 2 years. After expiry, you can subscribe to keep your gallery alive for $2/month (plus $1 per additional 500 photos).
You'll receive a notification before expiry. After expiration, the gallery goes offline but your data isn't deleted immediately. You can reactivate it by subscribing to a gallery plan, or download all your photos before it expires.
Yes — paid plans support multiple custom albums. You can organize photos by date range, star rating, or manually curate which photos appear in each album. Each album gets its own shareable link. The free plan includes 1 album.
Yes. Yealo stores your original photos with minimal compression — we don't degrade your image quality like many other platforms. When guests or hosts download photos, they get the full-resolution file. The gallery displays optimized previews for fast loading, but the originals are always preserved for download.
You can sort by newest first, oldest first, most popular (most liked), or upload time. Sorting preferences are saved per event. Some sort options are available on paid plans only.

QR Code & Sharing

(3)
Every event gets a custom-designed QR code that links directly to your upload page. Guests scan it with their phone camera — no app needed — and they're taken straight to the upload screen. It works on any smartphone.
Yes. From your dashboard, you can download the QR code as a high-resolution PNG. Print it on table cards, wedding programs, event signage, or display it on a screen for guests to scan.
Your event link is generated automatically based on your event name (e.g., yealo.us/e/sarah-and-jakes-wedding). The slug is created when you set up your event.

(4)
Basic: 1 GB (~250 photos). Pro: 15 GB (~3,750 photos or ~225 videos). Max: 100 GB (~25,000 photos). Business: 150 GB (~37,500 photos). These are starting amounts — you can add more.

Video uploads ($5), audio recording ($5), ad removal ($10), face recognition ($3), TV slideshow ($5), and various storage expansion packs. Pro and above include video; Max and above include audio.
The upload window is how long guests can add new media. It starts after the first few photos are uploaded or your event date — whichever comes first. Basic: 2 weeks. Pro: 30 days. Max: 60 days. Business: 6 months.

AI Features

(4)
Two main features: AI Upscale enhances photo resolution and quality, and AI Style applies artistic effects to your photos. These are available in the AI Studio from both the gallery and dashboard.
Each plan comes with bonus AI credits (Basic: 6, Pro: 15, Max: 30). Upscaling costs 1 credit, style transfer costs 3 credits. When you run out, you can purchase more: 5 credits ($5), 10 credits ($8), or 25 credits ($15).
Yes. Guests can access the AI Studio from the gallery to upscale or stylize photos using the event's AI credits. Guests can also purchase their own credit packs. Hosts can view all guest-created AI images in the Engagement tab.
The Business plan is designed for corporate events where compliance and content control are priorities. AI-generated images could create liability concerns for organizations, so AI generation is disabled. Face grouping (a non-generative AI feature) is still included.

Face Grouping

(3)
Face grouping uses AI to automatically detect faces in your event photos and group them by person. This makes it easy to find all photos of a specific guest. It's included in the Business plan or available as a $3 add-on.
Face data is processed as mathematical representations (embeddings), not stored as recognizable images. All biometric data is automatically deleted when your event expires or is deleted. We comply with BIPA (Illinois), Texas, and Washington biometric privacy laws. Full details are in our Privacy Policy.
Yes. Hosts can disable face grouping at any time from event settings. When disabled, all face embeddings and grouping data are permanently deleted immediately.

TV Slideshow

(3)
TV Slideshow displays your event photos in a cinematic, auto-advancing slideshow — perfect for lobby screens, reception TVs, or conference displays. You can configure the timing, choose which album to show, and optionally overlay a QR code so guests can upload in real time.
Yes. You can position a QR code in any corner of the screen, or set it to show as a full-screen interstitial every N slides. Guests scan it to upload photos that then appear in the slideshow.
Yes. New photos uploaded by guests appear in the slideshow automatically — no refresh needed. It's perfect for live events where you want the display to stay current.

SMS & Texting

(4)
From the Texting tab in your dashboard, you can create campaigns, import guest lists (manually or via CSV), compose messages with dynamic variables like guest name and event name, and send or schedule texts. Messages are delivered via SMS to your guest list.
SMS credits are purchased per-campaign. Pricing varies, but roughly $25 covers ~250 texts. Your remaining credit balance is shown in the dashboard, and you'll get a warning when credits are running low.
Yes. When composing a message, you can pick a specific date and time for delivery. Scheduled messages are processed by our system automatically. You can also send immediately.
Yes. Campaigns support RSVP collection — guests can respond Yes, No, or Maybe. You'll see a summary of responses (including dietary info if collected) in the RSVPs tab of your campaign.

Dashboard & Host Tools

(5)
Everything. View and manage all your events, browse photos/videos/audio in dedicated tabs, rate and tag media, check engagement (likes, comments, guest activity), manage vendors, customize settings, create slideshows, run SMS campaigns, and download your media.
Yes. You can invite co-hosts via email from your event settings. Co-hosts can help manage the event, view uploads, and access the dashboard. You can revoke access at any time.
Yes. From the dashboard, you can reject any photo to hide it from the guest gallery. Rejected photos aren't deleted — you can restore them if you change your mind. You can also permanently delete photos.
From your dashboard, use the bulk download option to get a ZIP file of all your event media. On paid plans, this is included. On the free plan, you can download individual photos from the gallery.
Yes. The dashboard supports a 1–5 star rating system and custom tags for organizing your media. You can filter albums by star rating and use batch operations to rate or tag multiple photos at once.

For Teams & Business

(3)
Absolutely. The Business plan is built for corporate use — conferences, retreats, company parties, and marketing events. It includes 150 GB+ storage, face grouping, a 6-month upload window, 2-year gallery access, TV slideshow, bulk download, and priority support.
Unlimited. Every plan supports unlimited guests. We've designed the platform to handle events from 10 to 5,000+ attendees with no performance issues.
Face grouping included (add-on for other plans), 150 GB expandable storage, 6-month upload window, 2-year gallery access, priority email support, and no ads. AI generation is disabled for corporate compliance. It's a one-time $150 fee per event.

Privacy & Security

(4)
You do. Yealo never claims ownership of your content. Photos, videos, and audio uploaded to your event remain your property. See our Terms of Service for full details.
Yes. Media is stored in encrypted cloud storage, gallery access can be password-protected, and all data transmission uses HTTPS. We follow industry-standard security practices.
After your gallery access period ends, your data is retained for a grace period. You'll receive notifications before expiry so you can download everything. If you don't take action, data is eventually deleted. You can also subscribe to keep your gallery alive indefinitely.
Yes. Our Privacy Policy covers GDPR (EU) and CCPA (California) compliance, including data access rights, deletion requests, and consent mechanisms. We also comply with biometric privacy laws (BIPA, Texas, Washington) for face grouping features.

Troubleshooting

(4)
First, check your internet connection. Yealo detects slow connections and will retry automatically. If your screen went to sleep or you switched apps, return to the upload page — it will resume where it left off. For very large files, uploads can take a few minutes on slower connections.
New uploads typically appear within seconds. If there's a delay, try refreshing the gallery page. Photos go through a quick optimization step after upload, which can take a moment for large batches.
Log in to your dashboard at yealo.us. All your events are listed there with their shareable links and QR codes. You can also re-download the QR code from the dashboard.
